How to use tags to organise your AI and automation pipeline

Tags are coloured labels you add to ideas in SilkFlo so you can group and filter them by anything your business units don’t capture: a strategic goal, a technology, a project type, a regulation or an intake campaign. Business units say where an idea comes from. Tags say what it’s part of. Once ideas are tagged, you can filter the pipeline to see, for example, every Microsoft Copilot initiative across the organisation in one view.

Why tagging matters #

With 5 ideas, you can keep the picture in your head. With 100, you can’t, and the questions leadership asks rarely follow your org chart:

  • “What are we doing with Copilot across the whole organisation?”
  • “Which initiatives support our efficiency target?”
  • “What’s in flight that touches GDPR?”
  • “Did last month’s finance workshop produce anything worth funding?”

Each of those cuts across business units. Tags are how you answer them in a couple of clicks rather than by reading every idea. They also help you spot duplicates: filter by a technology or theme and overlapping ideas from different teams sit side by side.

Plan your tags before you create them #

A tag list works best when it’s small, deliberate and agreed. Pick a few categories that match the questions you’ll be asked, then a handful of tags in each:

Category Example tags The question it answers
Strategy #Efficiency, #Growth2026, #NetZero Which goals are we investing in?
Technology #MicrosoftCopilot, #UiPath, #GenAI Where are we using each tool, and is there overlap?
Project type #Pilot, #ScaleUp, #LegacyDecommission What’s experimental, and what’s core delivery?
Governance and risk #GDPR, #ISO27001 What needs extra scrutiny or audit evidence?
Idea source #FinanceWorkshop, #IdeaMarketplace Which intake channels produce the best ideas?

Naming tips:

  • Keep names short: one to three words.
  • Pick one format and stick to it, for example Title Case with no spaces. “#GenAI” and “#gen-ai” become two tags, and your filters miss half the ideas.
  • Use colour to group categories, for example blues for strategy and reds for risk, so people can read a tag’s meaning at a glance.

Create tags in Platform Setup #

Only Admins can create tags. They manage the tag list under Settings > Platform Setup > Tags, on the Project Tags screen.

Manage your Innovation Project Tags in Silkflo

  2. Enter the Tag Name.
  3. Pick a colour. Check the Tag Preview to make sure the text is easy to read on that colour.
  4. Click Create Tag to save it, or Cancel to close without saving.

The tag is available on every idea straight away. Use Search tags to find an existing one before creating a new one.

Add tags to an idea #

  1. Open the idea’s profile page.
  2. In the Tags field, start typing to search your tags, or click +. You’ll find it at the bottom left of the Overview section.
  3. Pick the tags that apply. An idea can have as many as it needs.

If you’re an Admin and the tag you need doesn’t exist yet, you can create it right there on the idea profile, without going back to Settings. Only Admins can create tags, wherever they are in SilkFlo; everyone else picks from the existing list. That keeps the list under control, but agree a naming format among your Admins so tags created on the fly still match.

Filter the pipeline by tag #

In Pipeline, click Filter Data and choose one or more tags. The view narrows to just those ideas, so you can review a theme, a technology or a campaign on its own. The charts on each stage dashboard, such as the Value vs. Effort Matrix, update with the filter too.

Keep your tag list clean #

Tag lists grow quietly. Without a little upkeep, you end up with three tags meaning the same thing and filters that miss ideas. A quick review once a month or once a quarter is usually enough:

  • Look for duplicates, such as “#Copilot” and “#MicrosoftCopilot”. Keep one, re-tag its ideas, then delete the other.
  • Retire finished campaigns, such as a workshop tag from last year, so the list people pick from stays short.
  • Check the format of anything Admins created on the fly from idea profiles.

Tags can be added, edited and deleted.

FAQs #

How do I tag an idea in SilkFlo? #

Open the idea’s profile page, go to the Tags field, and search for or pick the tags you want. If the tag doesn’t exist yet, an Admin can create it there.

Can I filter the SilkFlo pipeline by tag? #

Yes. In Pipeline, click Filter Data and select one or more tags to see only the ideas with those tags.

What’s the difference between tags and business units? #

Business units record where an idea comes from in your organisation, and each idea has one. Tags record what an idea is part of, such as a strategy, technology or campaign, and an idea can have several.
